Administrative Assistant

Main Job Function and Purpose

The Administrative Assistant provides administrative support to the President and Chief Operations Officer of Orange County Rescue Mission in a wide range of responsibilities, all of which require a high level of organizational skills, innovation and teamwork.  This position performs calendar management, the OPS calendar management, prepares reports and financial data, and compiles, transcribes and distributes meeting minutes.  This role will also be handling information requests and performing administrative functions such as preparing correspondence, receiving visitors, and providing VIP tours and arranging conference calls.

Minimum Requirements

  • Christ-centered behavior, i.e., treating people with dignity, respect, compassion and integrity at all times.
  • Regular involvement in a local Bible-believing church.
  • Signed acknowledgement of the OCRM Statement of Faith.
  • EducationBachelor’s Degree (BA)
  • Experience: 2-3 years of job related work experience.
  • Communication Skills:  Ability to read, analyze  and interpret the most complex documents. Ability to respond effectively to the most sensitive inquiries or complaints. Ability to write speeches and articles using original or innovative techniques and styles.

Summary

Job Duties are (but not limited to):

  • Receives, screens and processes all communication to the President’s office and Operations office and distributes accordingly.
  • Read and analyze incoming memos, submissions and reports in order to plan distribution.
  • Maintain files with corporate documents, records and reports.
  • Coordinate special projects such as the annual report, holiday mailings, student binders, EOM supplies.
  • Conducts research, compile data and prepares information for special projects for consideration & presentation on key areas of the ministry, including marketing, analyzing trends in ministry, homelessness, healthcare and similar services in our community.
  • Coordinate Board Meetings with Board Members, including ordering food, preparation of presentation materials such as speeches, materials and information packets, annual report coordination including PowerPoint presentations and other special events or Board Meetings as needed for the President.
  • Working collaboratively with Development Department to build and maintain stakeholder donors, supporter relationships to encourage positive public relations.
  • Assist the President in supporting his assigned major donors with the appropriate priority.
  • Accounting duties: prepare invoices, financial statements, tracking expenses and administration of corporate credit cards.
