Clinic Supervisor – Anaheim

The HURTT Family Health Clinic is a community health clinic that serves the needs of low-income families and community members of Orange County, California. The Hurtt Family Health Clinic is looking to hire a Clinic Supervisor for our Anaheim Clinic.  The Clinic Supervisor will provide oversight to the daily clinic operations to our smallest of HFHC’s four clinic locations seeing approximately 3,000 patients per year compared to our Santa Ana clinic which serves approximately 13,500 patients per year and will supervise a small staff assigned Medical Assistants and Patient Service Representatives.  This site has a small staff of 9 employees between medical providers, medical assistants, and patient services representatives. The best person for this position will have previous busy healthcare office work experience, supervision experience, and enjoy working with a small office staff to meet the needs of our community patients.

 JOB DUTIES & RESPONSIBILITIES

  • Supervise all day-to-day clinic administrative tasks necessary for successful operation of the clinic.
  • Staff supervision includes providing work schedules, evaluations, performance reviews, timecards, and new employee orientation and new hire training.
  • Monitor clinic internal processes to ensure policy and/or procedures are being followed, provide coaching and training to staff if needed.
  • Uphold all clinic Policies and Procedures at all times. Report immediately any serious or repeated policy and/or procedure violations to the Director of Operations.
  • Participate or lead staff in training when appropriate.
  • Participate in Quality Assurance/ Quality Improvement meetings.
  • Communicate effectively and collaborate with all clinic and support staff including conduct staff meetings when needed, daily morning huddles, bi-monthly 1-1 meetings with front and back office staff.
  • Under the request and direction of the Director of Operations:
    • Implement the vision and strategic initiatives of the Hurtt Family Health Clinic.
    • Assist when needed in the interview and hiring process for vacant Anaheim positions.
    • Collaborate with Operations and Support Office teams in requested processes, audits, and projects as needed while maintaining supervision of clinic operations.
    • Address patient concerns and issues.
  • Vaccine Program Management for the Anaheim Clinic – Function as the Vaccine Coordinator, upholding all California Vaccine for Children (VFC) and Vaccine for Adults (VFA) program requirements.
    • Partner with the clinic’s designated Lead Medical Assistant or LVN (Back-Up Coordinators) to perform monthly physical inventory, manage inventory and disposal of expiring vaccines and medications, and the process of logging administered vaccines.
    • Responsible for all vaccine clinic records, ensuring all records are accurate and maintained in a timely manner for both public and privately purchased vaccines.
    • Responsible for all Vaccine Program storage and equipment. This includes:
      • Become an expert on all Anaheim vaccine storage requirements for all vaccines onsite.
      • Maintain knowledge and understanding of all vaccine storage equipment types, i.e. refrigerators, freezers, thermometers, power supplies needed.
      • Manage all storage types including: facilitating set-up, monitor temps daily or ensure proper function, maintain proper documentation, perform annual thermometer calibration and certification, and proactively coordinate service or repairs when needed.
    • Manage inventory and purchases for all clinic supplies, equipment, vaccines, and work with pharmacist and Registered Nurse for medication purchases.
    • Maintain knowledge and trainings in eClinical Works EMR database to monitor and facilitate proper eCW workflows.

Minimum Qualifications:

  1. A completed and signed Hurtt Family Health Clinic Employment Application.
  2. An Associate’s Degree or higher is strongly preferred. An education equivalency may be considered with more years of related specific work/supervisory experience in a Community Clinic or FQHC setting.
  3. More than two years of successful hands on work and supervisory experience in a health care office setting. Work experience in a Community Health Clinic or FQHC is strongly preferred.
  4. Bilingual in Spanish is preferred, but not required.
  5. Ability to stay onsite at clinic after closure to ensure tasks are completed if necessary.
  6. Excellent communication skills in all forms; written, verbal, digital, interpersonal) for clinic purposes in business administration and patient care.
  7. Demonstrated “detail-approach” to administration and organization with the ability to multitask simultaneously in a busy clinic setting.
  8. Self-motivated and dependable to work independently and flexible to work collaboratively as a team.
  9. Basic Knowledge of clinic coding and medical terminology.
  10. Proficiency with Windows, Microsoft Office (Word, Excel, Outlook, PowerPoint, Internet Explorer)
  11. Proficient working knowledge of EMR platforms/systems. eClinical Works is preferred but not required at hire.
  12. Ability to successfully use critical thinking and problem solving skills daily to proactively plan day to day and long term clinic supervision.
  13. The ability to foster a safe environment where patients will feel comfortable to share private pertinent information for effective treatment.
  14. Ability to recognize and maintain confidentiality of information as appropriate.
  15. A strong desire to serve the under and uninsured patient population of Orange County
  16. Ability to display professional and positive behavior to all people (patients, visitors, coworkers, outside community members) at all times while representing the HFHC organization.
  17. Maintains an acceptable driving record (in accordance with our insurance carrier, less than 2DMV points on driving record)
